Apollo.io setup guide
Sales intelligence and outreach. Agents find prospects in Apollo's database, enrich people and companies, save and update contacts, add contacts to sequences, send one-off emails, track replies and create follow-up tasks.
Agents look up customers and deals and keep your records tidy.
Ways to connect
Company admins connect apps, on the Integrations page in Everdeck: open Apollo.io, choose one of the ways below, follow its steps and fill in its fields. Everdeck checks what you enter before it saves anything, and asks you to confirm it’s you (your second factor) before you type any secret. How connecting works.
API key
API key.
- In Apollo open Settings > Integrations > API Keys (https://developer.apollo.io/#/keys) and click Create new key.
- Name it (for example "Everdeck") and select the endpoints below (Apollo lists each as api/v1/<name>), or turn on Set as master key to allow all of them: mixed_people/api_search, people/match, organizations/enrich, contacts/search, contacts/create, contacts/update, emailer_campaigns/search, emailer_campaigns/add_contact_ids, email_accounts/index, emailer_messages/create, emailer_messages/send_now, emailer_messages/search, tasks/create and users/api_profile.
- Click Create API key, copy it and paste it here. API access and credits depend on your Apollo plan. Requests made with a key act as your workspace's longest-standing admin, who also owns the records the agent creates. Triggers (a positive reply, a new contact): set them up on the Intake page. Everdeck checks Apollo with this key, every 15 minutes for positive_reply (emailer_messages/search) and every 30 for contact_created (contacts/search), so nothing more is needed here.
| Field | What to enter |
|---|---|
| API key | A secret: Everdeck saves it encrypted and never shows it again. Where to find it. |
Disconnecting deletes the credentials Everdeck saved, but Everdeck can't revoke them: the key, token or password itself keeps working at Apollo.io until you delete or rotate it there.
What agents can do
An agent uses an action only when its charter grants it, on the agent’s Tools tab, where you choose whether each one runs by itself (Auto), asks first or never runs. Each action has a risk tier: tier 3 actions, which customers or the public see, ask first unless you choose otherwise, and tier 4 actions (money, deleting things, access) always need a person. How tools and tiers work.
Actions marked Reads outside content return things people outside your company may have written. Agents treat what they read as information, never as instructions, and their riskier actions later in the same session need approval.
-
Find prospectsTier 0 · ReadReads outside content
apollo_search_peopleSearch Apollo's people database by job title, seniority, location, company domain, company size and keywords. Returns names (last name partly hidden), titles and companies with Apollo person ids, but no emails or phones (use enrich_person). Uses no credits. Up to 100 per page and 50,000 results in total.
-
Enrich a personTier 2 · ReversibleReads outside content
apollo_enrich_personLook up one person's full profile (work email, title, company, LinkedIn) from an email, a name plus company domain, a LinkedIn URL or an Apollo person id. Spends Apollo credits: 1 when demographics or an email are found (none if nothing is found); revealing personal emails may use more. Check match_confidence before trusting the result.
-
Enrich a companyTier 2 · ReversibleReads outside content
apollo_enrich_organizationLook up a company's profile (industry, headcount, revenue, location, phone, funding, technologies) by domain, LinkedIn URL or website. Spends 1 Apollo credit.
-
Search saved contactsTier 0 · ReadReads outside content
apollo_search_contactsSearch the contacts your team has saved in Apollo (not the whole database) by keywords such as name, title, company or email. Returns contact ids for sequences, tasks and emails.
-
Save a contactTier 2 · ReversibleReads outside content
apollo_create_contactSave a person as a contact in your team's Apollo account (needed before sequencing or emailing them). run_dedupe is on: if a matching contact exists (by email, Apollo person id or CRM id) Apollo updates it in place with these values and returns it instead of creating a duplicate.
-
Update a contactTier 2 · ReversibleReads outside content
apollo_update_contactChange a saved contact's details, stage, account or custom fields. label_names replaces the contact's lists.
-
Find sequencesTier 0 · ReadReads outside content
apollo_search_sequencesList or search your team's sequences by name, with ids, active state and step counts.
-
List mailboxesTier 0 · ReadReads outside content
apollo_list_email_accountsList the email accounts (mailboxes) linked to Apollo, to choose which one sends a sequence.
-
Add contacts to a sequenceTier 3 · ExternalReads outside content
apollo_add_to_sequenceEnroll saved contacts in a sequence, which then emails them automatically on its schedule. By default Apollo skips contacts without a verified email, already in another sequence, who recently changed jobs, or whose company is already in this sequence.
-
Send an emailTier 3 · ExternalReads outside content
apollo_send_emailSend a one-off email to a saved contact from the API key owner's linked mailbox. Apollo queues it; check delivery later with search_outreach_emails.
-
Check outreach emails and repliesTier 0 · ReadReads outside content
apollo_search_outreach_emailsFind emails sent through Apollo by status (delivered, opened, clicked, bounced, ...) or reply sentiment (willing_to_meet, follow_up_question, person_referral, out_of_office, not_interested, ...), optionally within sequences and a date range.
-
Create a taskTier 2 · Reversible
apollo_create_taskCreate a to-do in Apollo for a contact: a call, a manual email, a LinkedIn step or a general action item, due at a given time. It is assigned to the API key's acting user unless owner_id is given.
What can start work
These events from Apollo.io can become tasks for your agents through Intake. How Intake works.
A prospect replied to an Apollo email with interest, a question or a referral (reply classes willing_to_meet, follow_up_question, person_referral).
Connect Apollo.io first. Then, on the Intake page, open Webhooks and sources, find it under Connector triggers and select Start watching. Then, on the Rules tab, select New rule to say which requests become tasks and who gets them.
A contact was saved in Apollo (by a person, an import or a sequence).

Testing, problems and disconnecting
Everdeck checks the connection when you save it. On the connection’s page in Integrations, Test checks it again at any time.
If Apollo.io later refuses the connection, for example because a key was deleted or a sign-in expired, the connection shows Needs attention on the Integrations page and the people who manage connections are told. Agents can’t use it until a company admin fixes it with Edit.
To stop agents using Apollo.io, open the connection and select Disconnect. Agents stop using it at once and its saved credentials are deleted. What else happens depends on how it was connected: each way above says.
