Ways to connect

A company admin connects Apollo.io from the Integrations page in Everdeck. Keys, tokens and secrets are encrypted before they're stored, and the connection's Test button checks it works before any agent uses it.

  • API key API key

Copy a key or token from Apollo.io and paste it into Everdeck.

What agents can do with Apollo.io

An agent can only use the actions its charter grants. Each action has a risk tier, and the tier decides whether it runs on its own, asks first or always asks a person.

Runs on its own 10

Looking things up, writing to Everdeck's own records and changes one step can undo. Once an agent's charter grants one of these, it runs without asking, unless you set it to Ask first in the charter or one of your approval rules covers it.

  • Find prospects Tier 0 · Read Outside content

Search Apollo's people database by job title, seniority, location, company domain, company size and keywords. Returns names (last name partly hidden), titles and companies with Apollo person ids, but no emails or phones (use enrich_person). Uses no credits. Up to 100 per page and 50,000 results in total.

  • Enrich a person Tier 2 · Reversible Outside content

Look up one person's full profile (work email, title, company, LinkedIn) from an email, a name plus company domain, a LinkedIn URL or an Apollo person id. Spends Apollo credits: 1 when demographics or an email are found (none if nothing is found); revealing personal emails may use more. Check match_confidence before trusting the result.

  • Enrich a company Tier 2 · Reversible Outside content

Look up a company's profile (industry, headcount, revenue, location, phone, funding, technologies) by domain, LinkedIn URL or website. Spends 1 Apollo credit.

  • Search saved contacts Tier 0 · Read Outside content

Search the contacts your team has saved in Apollo (not the whole database) by keywords such as name, title, company or email. Returns contact ids for sequences, tasks and emails.

  • Save a contact Tier 2 · Reversible Outside content

Save a person as a contact in your team's Apollo account (needed before sequencing or emailing them). run_dedupe is on: if a matching contact exists (by email, Apollo person id or CRM id) Apollo updates it in place with these values and returns it instead of creating a duplicate.

  • Update a contact Tier 2 · Reversible Outside content

Change a saved contact's details, stage, account or custom fields. label_names replaces the contact's lists.

  • Find sequences Tier 0 · Read Outside content

List or search your team's sequences by name, with ids, active state and step counts.

  • List mailboxes Tier 0 · Read Outside content

List the email accounts (mailboxes) linked to Apollo, to choose which one sends a sequence.

  • Check outreach emails and replies Tier 0 · Read Outside content

Find emails sent through Apollo by status (delivered, opened, clicked, bounced, ...) or reply sentiment (willing_to_meet, follow_up_question, person_referral, out_of_office, not_interested, ...), optionally within sequences and a date range.

  • Create a task Tier 2 · Reversible

Create a to-do in Apollo for a contact: a call, a manual email, a LinkedIn step or a general action item, due at a given time. It is assigned to the API key's acting user unless owner_id is given.

Asks first 2

Anything a customer or the public sees. By default a charter grants these as Ask first: the agent sends an approval request and waits for a yes. A company admin can switch one to Auto in the charter after confirming with their second factor. Even then, once an agent has read outside content, such as a customer's email, its tier 3 and 4 actions need a person by default for the rest of that session.

  • Add contacts to a sequence Tier 3 · External Outside content

Enroll saved contacts in a sequence, which then emails them automatically on its schedule. By default Apollo skips contacts without a verified email, already in another sequence, who recently changed jobs, or whose company is already in this sequence.

  • Send an email Tier 3 · External Outside content

Send a one-off email to a saved contact from the API key owner's linked mailbox. Apollo queues it; check delivery later with search_outreach_emails.

Actions marked Outside content return what people outside your company may have written, such as emails or comments. Agents treat it as information to check, never as instructions.

What can start work

Set a trigger up on the Intake page, and your rules there turn what arrives into tasks for your agents.

  • A prospect replied to an Apollo email with interest, a question or a referral (reply classes willing_to_meet, follow_up_question, person_referral).

Everdeck checks Apollo.io every 15 minutes.

  • A contact was saved in Apollo (by a person, an import or a sequence).

Everdeck checks Apollo.io every 30 minutes.

Work an agent can take on

Examples for apps in CRM & sales. What an agent does with Apollo.io depends on the actions you grant it.

  • Log notes and next steps on a deal or contact after a call.
  • Create or update contacts from new enquiries.
  • List deals with no activity this week for your sales lead.

Set it up
