Payments & accounting
QuickBooks Online setup guide
Small-business accounting. Agents query customers, invoices and bills, create customers, vendors, invoices and bills, email invoices, record payments and run financial reports.
Agents read payments, invoices and accounts. Anything that moves money is tier 4: a person always approves it.
Ways to connect
Company admins connect apps, on the Integrations page in Everdeck: open QuickBooks Online, choose one of the ways below, follow its steps and fill in its fields. Everdeck checks what you enter before it saves anything, and asks you to confirm it’s you (your second factor) before you type any secret. How connecting works.
Your Intuit app
Your OAuth app.
This way signs in with an OAuth app you create for QuickBooks Online, as its steps describe: Everdeck never uses an app of its own. Register this redirect URI with your app:
https://everdeck.io/api/oauth/callback
Then save the app’s client ID and secret in Everdeck, on the connect page or under OAuth apps, and sign in.
- Sign in at https://developer.intuit.com, open My Hub > App dashboard and create an app for QuickBooks Online with the accounting scope (com.intuit.quickbooks.accounting).
- Open Settings > Redirect URIs, choose Production, click Add URI and enter https://everdeck.io/api/oauth/callback. (For a sandbox company add it under Development instead.)
- Open Keys and credentials and choose Production. Intuit first asks you to fill in its production key questionnaire about the app and approve it; then turn on Show credentials and copy the Client ID and Client secret into the form. Development keys work only with sandbox companies.
- Pick the matching environment above, click Connect, sign in as a QuickBooks admin and choose the company.
- You don't need to set up the app's webhooks: live updates from QuickBooks (starting work when a customer, invoice, payment or bill changes) aren't available yet, so leave the verifier token empty.
| Field | What to enter |
|---|---|
| QuickBooks environment | Choice: Production (real companies), Sandbox (test companies). |
| Webhooks verifier token (optional, not used yet) | A secret: Everdeck saves it encrypted and never shows it again. Live updates from QuickBooks aren't available yet; leave this empty. |
The scopes Everdeck asks for:
com.intuit.quickbooks.accounting
When you disconnect, Everdeck asks QuickBooks Online to revoke the sign-in, then deletes the tokens it saved.
What agents can do
An agent uses an action only when its charter grants it, on the agent’s Tools tab, where you choose whether each one runs by itself (Auto), asks first or never runs. Each action has a risk tier: tier 3 actions, which customers or the public see, ask first unless you choose otherwise, and tier 4 actions (money, deleting things, access) always need a person. How tools and tiers work.
Actions marked Reads outside content return things people outside your company may have written. Agents treat what they read as information, never as instructions, and their riskier actions later in the same session need approval.
-
Query recordsTier 0 · ReadReads outside content
quickbooks_queryRead records with QuickBooks' SQL-like query, one entity at a time, for example SELECT * FROM Invoice WHERE Balance > '0' AND DueDate < '2026-10-08' ORDERBY DueDate, SELECT * FROM Customer WHERE PrimaryEmailAddr = '[email protected]', SELECT * FROM Bill WHERE VendorRef = '56', or SELECT * FROM Account WHERE AccountType = 'Bank'. Use SELECT * (no field lists), AND only (no OR), LIKE with %, and STARTPOSITION / MAXRESULTS (up to 1000, default 100).
-
Read an invoiceTier 0 · ReadReads outside content
quickbooks_get_invoiceRead one invoice with lines, balance, email status, linked payments and, when online payment is on and the customer has an email, the shareable payment link (InvoiceLink). Returns the SyncToken that update_invoice needs.
-
Create a customerTier 2 · ReversibleReads outside content
quickbooks_create_customerAdd a customer. DisplayName must be unique across customers, vendors and employees, so query first. The email receives invoices sent from QuickBooks.
-
Update a customerTier 2 · ReversibleReads outside content
quickbooks_update_customerChange some of a customer's details (sparse update): only the fields you send change. Needs the current SyncToken from a query; a stale token is rejected, so read again and retry.
-
Create an invoiceTier 2 · Reversible
quickbooks_create_invoiceCreate an invoice for a customer. QuickBooks has no draft invoices: it is posted to accounts receivable straight away but nothing is emailed until send_invoice. It can be deleted or voided later in QuickBooks.
-
Update invoice detailsTier 2 · ReversibleReads outside content
quickbooks_update_invoiceChange an invoice's due date, internal memo, customer message or billing email (sparse update). Amounts and lines are not changed here. Needs the current SyncToken from get_invoice.
-
Email an invoiceTier 4 · Money or irreversibleReads outside content
quickbooks_send_invoiceEmail an invoice with its PDF to the invoice's billing email, or to send_to (which then becomes the billing email). Sending again works as a reminder. EmailStatus becomes EmailSent.
-
Record a customer paymentTier 4 · Money or irreversibleReads outside content
quickbooks_record_paymentRecord money received from a customer and apply it to one open invoice, optionally into a bank account (otherwise Undeposited Funds). This updates the books; it does not charge anyone.
-
Enter a billTier 2 · Reversible
quickbooks_create_billEnter a bill from a vendor with expense lines against accounts. It is added to accounts payable; paying it happens elsewhere.
-
Create a vendorTier 2 · ReversibleReads outside content
quickbooks_create_vendorAdd a supplier to bill against. DisplayName must be unique across customers, vendors and employees.
-
Run a reportTier 0 · ReadReads outside content
quickbooks_get_reportRun a report such as ProfitAndLoss, BalanceSheet, CashFlow, TrialBalance (TrialBalanceFR for French companies) or GeneralLedger for a date range or a preset like This Month, or CustomerBalance and the aged receivables and payables summaries as of report_date. Results are header, columns and rows.
-
List recent changesTier 0 · ReadReads outside content
quickbooks_list_changesList customers, invoices, payments, bills or other entities created, changed or deleted since a time in the last 30 days (change data capture). Deleted records come back with status Deleted.
Testing, problems and disconnecting
Everdeck checks the connection when you save it. On the connection’s page in Integrations, Test checks it again at any time.
If QuickBooks Online later refuses the connection, for example because a key was deleted or a sign-in expired, the connection shows Needs attention on the Integrations page and the people who manage connections are told. Agents can’t use it until a company admin fixes it with Edit or Reconnect.
To stop agents using QuickBooks Online, open the connection and select Disconnect. Agents stop using it at once and its saved credentials are deleted. What else happens depends on how it was connected: each way above says.
