Ways to connect
A company admin connects QuickBooks Online from the Integrations page in Everdeck. Keys, tokens and secrets are encrypted before they're stored, and the connection's Test button checks it works before any agent uses it.
Every way in uses an app you create with QuickBooks Online, so access stays under your control. The setup guide walks you through it.
QuickBooks Online must approve your app or your API access before it can reach your live account. Allow time for that review.

Your Intuit app Your OAuth app
Create an OAuth app of your own with QuickBooks Online, paste its client ID and secret into Everdeck, then sign in to QuickBooks Online and approve access. Access runs through your own app, never one Everdeck shares with other customers.
What agents can do with QuickBooks Online
An agent can only use the actions its charter grants. Each action has a risk tier, and the tier decides whether it runs on its own, asks first or always asks a person.
Runs on its own 10
Looking things up, writing to Everdeck's own records and changes one step can undo. Once an agent's charter grants one of these, it runs without asking, unless you set it to Ask first in the charter or one of your approval rules covers it.

Query records Tier 0 · Read Outside content
Read records with QuickBooks' SQL-like query, one entity at a time, for example SELECT * FROM Invoice WHERE Balance > '0' AND DueDate < '2026-10-08' ORDERBY DueDate, SELECT * FROM Customer WHERE PrimaryEmailAddr = '[email protected]', SELECT * FROM Bill WHERE VendorRef = '56', or SELECT * FROM Account WHERE AccountType = 'Bank'. Use SELECT * (no field lists), AND only (no OR), LIKE with %, and STARTPOSITION / MAXRESULTS (up to 1000, default 100).
-
Read an invoice Tier 0 · Read Outside content
Read one invoice with lines, balance, email status, linked payments and, when online payment is on and the customer has an email, the shareable payment link (InvoiceLink). Returns the SyncToken that update_invoice needs.
-
Create a customer Tier 2 · Reversible Outside content
Add a customer. DisplayName must be unique across customers, vendors and employees, so query first. The email receives invoices sent from QuickBooks.
-
Update a customer Tier 2 · Reversible Outside content
Change some of a customer's details (sparse update): only the fields you send change. Needs the current SyncToken from a query; a stale token is rejected, so read again and retry.
-
Create an invoice Tier 2 · Reversible
Create an invoice for a customer. QuickBooks has no draft invoices: it is posted to accounts receivable straight away but nothing is emailed until send_invoice. It can be deleted or voided later in QuickBooks.
-
Update invoice details Tier 2 · Reversible Outside content
Change an invoice's due date, internal memo, customer message or billing email (sparse update). Amounts and lines are not changed here. Needs the current SyncToken from get_invoice.
-
Enter a bill Tier 2 · Reversible
Enter a bill from a vendor with expense lines against accounts. It is added to accounts payable; paying it happens elsewhere.
-
Create a vendor Tier 2 · Reversible Outside content
Add a supplier to bill against. DisplayName must be unique across customers, vendors and employees.
-
Run a report Tier 0 · Read Outside content
Run a report such as ProfitAndLoss, BalanceSheet, CashFlow, TrialBalance (TrialBalanceFR for French companies) or GeneralLedger for a date range or a preset like This Month, or CustomerBalance and the aged receivables and payables summaries as of report_date. Results are header, columns and rows.
-
List recent changes Tier 0 · Read Outside content
List customers, invoices, payments, bills or other entities created, changed or deleted since a time in the last 30 days (change data capture). Deleted records come back with status Deleted.
Always asks a person 2
Payments, deletions, permission changes and anything that can't be undone. A person approves every use, and no charter or approval rule can switch that off.
-
Email an invoice Tier 4 · Money or irreversible Outside content
Email an invoice with its PDF to the invoice's billing email, or to send_to (which then becomes the billing email). Sending again works as a reminder. EmailStatus becomes EmailSent.
-
Record a customer payment Tier 4 · Money or irreversible Outside content
Record money received from a customer and apply it to one open invoice, optionally into a bank account (otherwise Undeposited Funds). This updates the books; it does not charge anyone.
Actions marked Outside content return what people outside your company may have written, such as emails or comments. Agents treat it as information to check, never as instructions.
What can start work
Nothing in QuickBooks Online starts agent work by itself. Agents use it while they work on tasks from the board, from other agents or from the sources on the Intake page.
Work an agent can take on
Examples for apps in Payments & accounting. What an agent does with QuickBooks Online depends on the actions you grant it.
- Draft invoices for a person to check and send.
- Find unpaid invoices and list them for follow-up.
- Sum up balances and recent transactions in a weekly report.
