Ways to connect

A company admin connects Zoho Books from the Integrations page in Everdeck. Keys, tokens and secrets are encrypted before they're stored, and the connection's Test button checks it works before any agent uses it.

Every way in uses an app you create with Zoho Books, so access stays under your control. The setup guide walks you through it.

  • Your Zoho API Console client Your OAuth app

Create an OAuth app of your own with Zoho Books, paste its client ID and secret into Everdeck, then sign in to Zoho Books and approve access. Access runs through your own app, never one Everdeck shares with other customers.

What agents can do with Zoho Books

An agent can only use the actions its charter grants. Each action has a risk tier, and the tier decides whether it runs on its own, asks first or always asks a person.

Runs on its own 9

Looking things up, writing to Everdeck's own records and changes one step can undo. Once an agent's charter grants one of these, it runs without asking, unless you set it to Ask first in the charter or one of your approval rules covers it.

  • Search customers and vendors Tier 0 · Read Outside content

Find customers or vendors by name, email, general text (name or notes) or a status filter such as Invoice.OverDue. Returns ids, primary email and phone, currency and outstanding amounts.

  • Create a customer or vendor Tier 2 · Reversible Outside content

Add a customer or vendor. contact_name is the display name and must be unique; search first. Put the person's email and phone on a primary contact person so invoices can be emailed.

  • List invoices Tier 0 · Read Outside content

List invoices filtered by status (draft, sent, overdue, paid, void, unpaid, partially_paid, viewed), customer, invoice date range, text (number, PO or customer) or changes since a time. Up to 200 per page.

  • Read an invoice Tier 0 · Read Outside content

Read one invoice with line items, taxes, totals, payments made, balance, reminders sent and the customer's view link (invoice_url).

  • Draft an invoice Tier 2 · Reversible Outside content

Create an invoice for a customer as a draft (it is not emailed). Numbers follow the organization's auto-numbering. Line items reference saved items (item_id) and can override name, description, rate and quantity.

  • Comment on an invoice Tier 2 · Reversible Outside content

Add an internal comment to an invoice's history, for example a customer's promise to pay, with an optional expected payment date. Comments are not shown to the customer.

  • List bills Tier 0 · Read Outside content

List vendor bills by status (open, overdue, paid, partially_paid or void), vendor, text (bill number, reference, vendor) or changes since a time. Up to 200 per page.

  • Enter a bill Tier 2 · Reversible Outside content

Enter a bill received from a vendor, with expense lines against accounts. The bill number is the vendor's invoice number and must be unique for the organization.

  • List accounts Tier 0 · Read Outside content

List the chart of accounts (id, name, code, type, active). Use expense account ids on bill lines, and bank or cash accounts (account_type bank or cash, under AccountType.Asset) as the deposit account for payments.

Asks first 1

Anything a customer or the public sees. By default a charter grants these as Ask first: the agent sends an approval request and waits for a yes. A company admin can switch one to Auto in the charter after confirming with their second factor. Even then, once an agent has read outside content, such as a customer's email, its tier 3 and 4 actions need a person by default for the rest of that session.

  • Send a payment reminder Tier 3 · External Outside content

Email the customer a reminder about an open or overdue invoice. Without subject and body the organization's reminder template is used.

Always asks a person 2

Payments, deletions, permission changes and anything that can't be undone. A person approves every use, and no charter or approval rule can switch that off.

  • Email an invoice Tier 4 · Money or irreversible Outside content

Email an invoice with its PDF to the given addresses; a draft is marked as sent. Without subject and body the organization's email template is used.

  • Record a customer payment Tier 4 · Money or irreversible Outside content

Record money received from a customer and apply it to one invoice, into a bank or cash account. This updates the books; it does not charge anyone.

Actions marked Outside content return what people outside your company may have written, such as emails or comments. Agents treat it as information to check, never as instructions.
