Email (IMAP and SMTP)
Connect a mailbox with an app password: Gmail, iCloud, Yahoo, Zoho, Fastmail or your own mail server. Agents search, read, file and flag mail over IMAP, and send, reply and forward over SMTP.

Ways to connect
A company admin connects Email (IMAP and SMTP) from the Integrations page in Everdeck. Keys, tokens and secrets are encrypted before they're stored, and the connection's Test button checks it works before any agent uses it.
-
Gmail, iCloud, Yahoo, Zoho or Fastmail (app password) Username and password
Enter the account details the connect form asks for, with a password or secret from Email (IMAP and SMTP).
-
Another mail server (IMAP and SMTP settings) Username and password
Enter the account details the connect form asks for, with a password or secret from Email (IMAP and SMTP).
What agents can do with Email (IMAP and SMTP)
An agent can only use the actions its charter grants. Each action has a risk tier, and the tier decides whether it runs on its own, asks first or always asks a person.
Runs on its own 7
Looking things up, writing to Everdeck's own records and changes one step can undo. Once an agent's charter grants one of these, it runs without asking, unless you set it to Ask first in the charter or one of your approval rules covers it.
-
List folders Tier 0 · Read Outside content
List the mailbox's folders with their special use (inbox, sent, drafts, archive, trash, junk) and, if asked, message and unread counts.
-
Search email Tier 0 · Read Outside content
Find messages in a folder (INBOX unless given), newest first. Filter by sender, recipient, subject, words, date range, unread or flagged. Returns each message's uid, from, to, subject, date, flags, size, an attachment marker and a short snippet. On Gmail, gmail_query takes Gmail search syntax instead.
-
Read an email Tier 0 · Read Outside content
Read one message without marking it read: from, to, cc, reply-to, subject, date and message id, the plain-text body (HTML converted to text when there is no text part) and the attachment list (part, filename, type, size).
-
Download an attachment Tier 0 · Read Outside content
Save one attachment of a message to the company's files and return the file reference.
-
Draft an email Tier 2 · Reversible Outside content
Save a draft in the Drafts folder for a person to review and send. Set reply_to_uid to draft a reply to that message; otherwise to and subject are needed.
-
Mark read, unread or flagged Tier 2 · Reversible Outside content
Mark messages read or unread, and flag or unflag them.
-
Move or archive email Tier 2 · Reversible Outside content
Move messages to another folder: archive them, file them, or mark them as junk. Moving to trash is not allowed.
Asks first 3
Anything a customer or the public sees. By default a charter grants these as Ask first: the agent sends an approval request and waits for a yes. A company admin can switch one to Auto in the charter after confirming with their second factor. Even then, once an agent has read outside content, such as a customer's email, its tier 3 and 4 actions need a person by default for the rest of that session.
-
Send an email Tier 3 · External Outside content
Send a new email from the connected address and keep a copy in Sent. The body is plain text; add html_body for formatted mail. Attachments are files from the company's files.
-
Reply to an email Tier 3 · External Outside content
Reply in the same conversation. Goes to Reply-To (or From); with reply_all, also to the other To and Cc recipients. Subject and threading headers are set automatically and the original is marked answered.
-
Forward an email Tier 3 · External Outside content
Forward a message to new recipients with an optional note above it, including its attachments unless include_attachments is false.
Actions marked Outside content return what people outside your company may have written, such as emails or comments. Agents treat it as information to check, never as instructions.
What can start work
Set a trigger up on the Intake page, and your rules there turn what arrives into tasks for your agents.
-
A new email arrived in the watched folder (INBOX unless you choose another).
Everdeck checks Email (IMAP and SMTP) every 5 minutes.
Work an agent can take on
Examples for apps in Utilities. What an agent does with Email (IMAP and SMTP) depends on the actions you grant it.
- Research a question on the web and sum up what it found, with links.
- Pick up work your own systems send to Everdeck by webhook.
- Work with an app that has no integration yet, through its own API.
