Ways to connect
A company admin connects Gmail from the Integrations page in Everdeck. Keys, tokens and secrets are encrypted before they're stored, and the connection's Test button checks it works before any agent uses it.
Every way in uses an app you create with Gmail, so access stays under your control. The setup guide walks you through it.
-
Your Google Cloud OAuth client Your OAuth app
Create an OAuth app of your own with Gmail, paste its client ID and secret into Everdeck, then sign in to Gmail and approve access. Access runs through your own app, never one Everdeck shares with other customers.
What agents can do with Gmail
An agent can only use the actions its charter grants. Each action has a risk tier, and the tier decides whether it runs on its own, asks first or always asks a person.
Runs on its own 7
Looking things up, writing to Everdeck's own records and changes one step can undo. Once an agent's charter grants one of these, it runs without asking, unless you set it to Ask first in the charter or one of your approval rules covers it.

Search email Tier 0 · Read Outside content
Find messages with Gmail search syntax (from:, to:, subject:, is:unread, label:, has:attachment, newer_than:2d, in:inbox). Returns each message's id, thread id, from, to, subject, date, snippet and labels, newest first.
-
Read an email Tier 0 · Read Outside content
Read one message: headers, the plain-text body (HTML converted to text when there is no text part), labels, and the attachment list (filename, type, size, attachment_id).
-
Read a conversation Tier 0 · Read Outside content
Read every message in a thread, oldest first, with bodies as plain text.
-
Download an attachment Tier 0 · Read Outside content
Save one attachment of a message to the company's files and return the file reference.
-
List labels Tier 0 · Read Outside content
List system and custom labels with their ids, for use with modify_labels and label:name searches.
-
Draft an email Tier 2 · Reversible Outside content
Save a draft for a person to review and send. Set reply_to_message_id to draft a reply in that thread; otherwise to and subject are required.
-
Label, archive or mark read Tier 2 · Reversible
Add or remove label ids on a message. Archive = remove INBOX; mark read = remove UNREAD; star = add STARRED. Use list_labels for custom label ids. TRASH can't be added: deleting email is not part of this connector.
Asks first 3
Anything a customer or the public sees. By default a charter grants these as Ask first: the agent sends an approval request and waits for a yes. A company admin can switch one to Auto in the charter after confirming with their second factor. Even then, once an agent has read outside content, such as a customer's email, its tier 3 and 4 actions need a person by default for the rest of that session.
-
Send an email Tier 3 · External Outside content
Send a new email from the connected mailbox. Body is plain text; add html_body for formatted mail. Attachments are files from the company's files.
-
Reply to an email Tier 3 · External Outside content
Reply in the same thread. Replies to Reply-To (or From); with reply_all, also copies the other To and Cc recipients. Subject and threading headers are set automatically.
-
Send a draft Tier 3 · External
Send an existing draft exactly as saved.
Actions marked Outside content return what people outside your company may have written, such as emails or comments. Agents treat it as information to check, never as instructions.
What can start work
Set a trigger up on the Intake page, and your rules there turn what arrives into tasks for your agents.

Work an agent can take on
Examples for apps in Communication. What an agent does with Gmail depends on the actions you grant it.
- Read new messages, sort out what needs a reply and draft the answers for you to check.
- Post a short summary of the day's finished tasks where your team will see it.
- Send a customer a follow-up once you've approved the wording.
Set it up
The Gmail setup guide walks through each way to connect: what to set up first and the fields to fill in, then how to start work from its triggers on the Intake page.
Gmail is a separate service with its own terms. Everdeck isn't affiliated with or endorsed by it.
